Issued by SSS Competence, Skills & Wellbeing CIC (Company No. 1671806), in partnership with SSS Compliance Services Ltd (Company No. 15493208, trading as SSSCP)
SSSCSW CIC: SSS Competence, Skills & Wellbeing CIC, the community interest company responsible for the sales and distribution of SSSCP memberships and licences. All profits and surpluses are reinvested for community benefit in line with CIC rules, regulations, and the asset lock.
SSSCP: SSS Compliance Services Ltd, trading as SSS Competency Passport, and its authorised representatives. SSSCP is responsible for operating the platform, managing all data storage, and acting as Data Controller and Data Processor under GDPR. SSSCP also undertakes all system design, development, maintenance, and quality assurance (QA) for the platform and its associated tools.
Individual Membership: A subscription purchased through SSSCSW CIC by an individual which includes access to the SSSCP platform, a personal software licence, and a digital passport profile.
Company Membership (Software Licence): A subscription purchased through SSSCSW CIC by an organisation which includes access to the corporate dashboard, TRACK-IT, Profile Checker, and other compliance tools. Company Membership covers the use of the software but does not transfer ownership of employee passports, which always remain the property of the individual.
Dashboard: The online interface provided to each member (individual or company) through which they access their software licence, manage documents, and view compliance status.
Profile Checker: Public tool used to verify a member’s uploaded documentation and competency summary.
TRACK-IT: The compliance management tool that links with Profile Checker, storing the authorisation, verification, and validation records of all completed profile checks, providing an auditable trail of compliance activity.
Platform: The SSSCP digital tools and systems, operated solely by SSSCP on behalf of members.
Documents: Any evidence uploaded by the member (e.g., CV, qualifications, licences, CPD, insurance, membership records).
Data Controller / Data Processor: For all data storage, uploads, and account administration, SSSCP acts as Data Controller and Data Processor.
Membership begins once payment is processed and onboarding is completed.
Memberships may be purchased by individuals or companies, always through SSS Competence, Skills & Wellbeing CIC (SSSCSW CIC):
Individuals purchase an annual membership, which includes a personal software licence giving access to their dashboard and passport profile.
Companies purchase an annual membership (software licence) providing access to compliance dashboards, TRACK-IT, and Profile Checker.
All sales transactions are completed through www.ssscsw.org and issued by SSSCSW CIC. The SSSCP platform, operated by SSS Compliance Services Ltd, provides the membership dashboard, Profile Checker, TRACK-IT, and data storage services, but the seller of record is always SSSCSW CIC.
Memberships and licences do not automatically renew. Members are responsible for monitoring their own renewal dates. The platform may issue automated alerts, but SSSCP and SSSCSW CIC accept no liability if a membership or licence lapses.
At the end of each membership year, if renewal is not completed, all access to the platform and stored data will be denied until renewal is made.
Members who do not wish to renew may request deletion of all data by emailing admin@ssspassport.co.uk. Written confirmation will be provided once all data has been securely removed in accordance with UK GDPR and data retention requirements.
Members always retain ownership of their own documents and uploaded information. SSSCP and SSSCSW CIC do not claim any ownership of the content you upload.
SSSCP owns and controls the platform, software, and storage systems. By purchasing a membership, you obtain a licence to use these systems but do not acquire any ownership rights in them.
Individual memberships and the associated software licence belong to the individual, even if purchased by an employer.
Company memberships (software licences) belong to the purchasing organisation but do not give them ownership of any individual’s passport or documentation.
Memberships and licences cannot be reassigned or transferred without consent.
Members are responsible for keeping their documentation accurate and current.
SSSCP manages all data storage and acts as Data Controller and Data Processor under UK GDPR. SSSCSW CIC does not process or control member data, other than handling payment and sales transactions.
Data collected and managed by SSSCP may include:
Contact details (name, address, email, phone)
Photograph for identity verification
CV, education history, military service, and work experience
Qualifications, licences, site cards, CPD, professional memberships, and insurances
Company details for corporate members
All uploads are voluntary and under the member’s control.
All uploaded documents are stored securely by SSSCP and cannot be altered without your instruction.
You may choose to hide certain documents to protect against fraud.
Access to all accounts is protected by two-step authentication.
Your membership number is never reused for security reasons.
We will never sell or transfer your data, but your profile can be accessed globally through the Profile Checker for the sole purpose of authorisation, verification, and validation.
Your uploaded documents may be viewed by:
Clients, principal contractors, contractors, and duty holders checking compliance
Awarding bodies or relevant authorities verifying qualifications
Any regulator, inspectorate, or statutory authority carrying out compliance, safety, security, or wellbeing checks
Verification tools and links to professional registers are provided where possible.
SSSCP and SSSCSW CIC act only as the portal through which information can be accessed. We do not authorise, verify, or validate any document, individual, or decision. All responsibility for verification and decision-making rests solely with the person or organisation performing the Profile Check.
For company members holding a software licence, Profile Check activity is automatically logged and stored within the TRACK-IT system, creating a secure, time-stamped audit trail.
For non-company members, Profile Checks may still be carried out free of charge. However, once the report is generated and sent to the checker, SSSCP and SSSCSW CIC have no control over where or how that report is stored, processed, or used.
SSSCP and SSSCSW CIC are not responsible for how third parties store, process, or use this data once accessed. We provide no warranty or liability for any onward use, copying, or distribution of profile information by others.
Members have full control over their documents and may choose to hide any document containing personal information. The choice of which documents are visible or hidden lies entirely with the member.
You are responsible for the authenticity of all uploaded documents.
Submitting fraudulent or altered documents is a breach of this agreement and may result in account termination without refund, reporting to relevant authorities, and legal action.
By uploading documents, you confirm they are accurate and current.
You have the right to:
Access your personal information
Request correction or deletion of data
Restrict processing or object to processing
Request transfer of your data to another party
Withdraw consent at any time (may affect your ability to use the service)

SSSCP and SSSCSW CIC provide no guarantee, assurance, or warranty as to the accuracy or suitability of any document or profile. No party may rely on SSSCP or SSSCSW CIC as the basis for hiring, contracting, or authorisation decisions. All parties must undertake their own due diligence and independent checks.
You agree to indemnify and hold harmless SSSCP, SSSCSW CIC, their directors, employees, and contractors from and against any claims, demands, damages, liabilities, costs, or expenses (including legal fees) arising from:
Any inaccurate, false, or misleading information you upload
Any breach of this agreement by you
Any legal or regulatory action taken against SSSCP or SSSCSW CIC as a result of your uploaded documents or actions
This indemnity survives termination of your membership.
The total liability of SSSCP and SSSCSW CIC is limited to the membership fee paid in the 12 months prior to the claim.
We are not liable for indirect, incidental, or consequential losses.
Nothing limits liability for death, personal injury, or fraud.
SSSCP and SSSCSW CIC provide only the platform and digital tools. We do not authorise, verify, or validate any documentation, worker, or competency. All verification and authorisation decisions are the sole responsibility of the person or organisation performing the Profile Check, whose details are recorded in the TRACK-IT audit trail (for company members).
SSSCP and SSSCSW CIC accept no liability for accidents, incidents, enforcement actions, or damages arising from reliance on uploaded documents or Profile Check results. Regulatory compliance, duty of care, and workforce authorisation always remain the responsibility of the duty holder, employer, or contracting entity.
The compliance audit trail provided by TRACK-IT is stored as evidence of verification and validation activity. Neither SSSCP nor SSSCSW CIC accepts liability for how third parties interpret or rely upon these stored records, beyond the limits set out above.
Use of the software licence (individual or company) is limited strictly to the terms of this agreement. Any unauthorised use, sharing, or sublicensing is prohibited.
SSSCP and SSSCSW CIC are not a certification, accreditation, or awarding body. We do not issue qualifications or competence approvals. We provide only a software platform to store, display, and share information supplied by members. Any appearance of endorsement is incidental, and no certification or guarantee is ever implied.
This agreement is governed by the laws of England and Wales.
Any disputes must be brought in the English courts.
By purchasing or using SSSCP membership, you agree that:
SSSCSW CIC is the seller of record.
SSSCP is the platform operator.
All responsibility for uploaded content lies with the member.
All responsibility for verification and authorisation lies with the person or organisation performing the Profile Check.
You cannot rely on SSSCP or SSSCSW CIC for compliance, competence, or authorisation.
